Digital attendance solves the day-to-day register — but every school has the odd day that slips through: a teacher off sick with nobody covering the tap-in, a device that died mid-lesson, or a new school switching onto MyEncore mid-term with weeks of paper registers still to bring across. Until now, the honest options were "leave that day blank" or "reconstruct it from memory." Neither is good enough when the register feeds SASAMS submissions and Department of Basic Education audits.
MyEncore's Past Roll Call wizard, available from a register class's Options menu, closes that gap: it lets a teacher go back and mark a missed day properly, with the same rigour as marking it on the day.
How Past Roll Call Works
Past Roll Call repeats the normal roll-call flow for each day you're catching up, rather than being a bulk "mark everyone present" shortcut:
- Pick your date range. Go back up to 14 days, weekdays only, today inclusive.
- The roster preloads per day. You get the actual class list for that date, not today's list applied retroactively — learners who joined or left the class in between are handled correctly.
- Tap present/absent per learner, exactly like a same-day register.
- Add a SASAMS-compliant reason for each absence, with an "apply to all" shortcut when the whole class missed a day for the same reason (a public holiday mix-up, a sports trip, load shedding), and a per-learner "not enrolled on this date" skip so you're never forced to guess.
- One day at a time, then a summary table once you've worked through the range, so you can check everything before it's saved.
Past Roll Call only applies to register classes, and any day that's already been signed off (locked for reporting) can't be reopened through it — that lock is deliberate, so a finalised register for a submitted term can't quietly change after the fact.
Where This Actually Helps
SASAMS submission crunch
Attendance data feeds directly into SASAMS reporting. A handful of blank days scattered across the term used to mean either an incomplete submission or a scramble to reconstruct records from memory right before a deadline. Past Roll Call means those gaps get closed properly, with real per-learner reasons, well before submission day.
Onboarding mid-term
Schools that start using MyEncore partway through a term often have weeks of paper registers to bring across so the digital record is complete from day one of the term, not just from the switch-over date.
